How We Work: What to Expect When You Hire Honey Bear Financials
A behind-the-scenes look at how we handle your bookkeeping — from the first consultation to your monthly reports. No surprises, no jargon, no chasing.

One of the most common questions I get from potential clients is: "What does working with you actually look like?"
Fair question. Handing your books over to someone is a big deal.
You want to know what you're getting, how the process works, and what to expect each month.
So here's the full breakdown of our process on working with you.
It Starts With a Conversation
Every client relationship begins with a free 30-minute consultation.
No pitch, no pressure; just a conversation.
We cover three things:
- Your business — what you do, how you make money, and how your finances are set up today.
- Where your books stand — are they current? Behind? A total mess? All of the above? No judgment.
- What makes sense — based on your situation, which service is the right fit.
Before our call, we'll email you with simple instructions on how to give us read-only access to your books. This way, we can review your current setup ahead of time and come to the conversation informed.
We have found this to be a major time saver so we are not spending your 30 minutes asking basic questions.
By the end of the call, you'll know exactly what we recommend, what it costs, and what the timeline looks like.
If we're not the right fit, I'll tell you that too.
Two Promises I Make to Every Client
I started Honey Bear Financial because I kept hearing the same two complaints from every small business owner I talked to: "My bookkeeper is slow" and "My bookkeeper is hard to reach."
So I built the business around two promises:
- Your books are closed within the month. You'll never be waiting months for a financial picture.
- Every email gets a guaranteed response within 2 business days (on our Monthly and Comprehensive plans). Not three days. Not "when I get to it." Every single time.
Speed and communication. Everything else follows from there.
What Setup Looks Like
Once you've picked a plan, getting started is fast. Here's what happens:
Monthly Bookkeeping Setup
- I connect to your QuickBooks, bank accounts, and credit cards
- I organize your Chart of Accounts and set up your workflow
- Most clients are up and running within a week
Comprehensive Bookkeeping Setup
- We do a deeper dive — I map out your revenue streams, vendor relationships, payroll setup, and reporting needs
- I configure QuickBooks with AP/AR workflows, payroll integration, sales tax tracking, and custom report templates
- Most clients are fully transitioned within 1 month
Quarterly Bookkeeping Setup
- I connect your accounts, organize your Chart of Accounts, and establish your financial baseline
- From there, we handle bookkeeping each month and provide you with a quarterly review
Already have a bookkeeper?
Switching is easy. I'll connect to your QuickBooks, review what's been done, clean up anything that needs fixing, and take it from there. Most transitions take about a week.
What Happens Every Month
Here's what a typical month looks like on our Monthly or Comprehensive plans.
Weeks 1–3: The Work Gets Done
- I pull in all your transactions from bank feeds
- Every transaction gets categorized — no guesswork, no "Ask My Accountant" bucket
- Every bank account and credit card gets reconciled
- Anything unusual gets flagged
Weeks 3–4: Reports & Summary
You receive:
- Profit & Loss statement — what you earned and what you spent
- Balance Sheet — what you own, what you owe, and your equity
- Owner summary — a short, plain-English explanation of what the numbers mean and anything worth paying attention to
On the Comprehensive plan, you also get a personalized video walkthrough — I screen-share your reports and explain everything in plain English so you don't have to guess what the numbers mean.
Ongoing: Support & Check-Ins
- Monthly or quarterly check-in calls to walk through your numbers and answer questions
- 2-business-day email responses — you email me, you hear back within 2 business days
- I proactively flag anything that looks off before you have to ask
What Happens Every Quarter (Quarterly Plan)
If you're on our Quarterly plan, here's the rhythm:
- Every quarter, I audit your books. Full reconciliation review — catching errors, fixing categorization, making sure everything ties out.
- You get a key metrics report. Revenue trends, expense patterns, and the numbers that actually matter for your decisions.
- We sit down for 60–90 minutes. A strategy session to review your financials, answer your questions, and plan for what's ahead.
If Your Books Need Catching Up First
A lot of new clients come to us with books that are behind — sometimes months, sometimes years. That's what our Bookkeeping Cleanup is for.
Here's how it works:
- You give us read-only access to your bookkeeping software and bank accounts.
- We do a free assessment — review your books, scope the project, and give you a fixed quote. No hourly billing.
- We clean it up — typically 2–8 weeks depending on the complexity of the job. You get progress updates along the way.
- You move forward — clean books, clear reports, and an optional transition to monthly service.
Cleanup projects start at $500 and are always scoped with a fixed quote before any work begins.
You'll Never Experience These Things
I know what bad bookkeeping looks like because I've heard the horror stories from every client switched to us.
Here's what you won't deal with:
- Ticket systems or automated responses. When you email me, a real person who knows your business responds.
- Rotating team members. You work with me. I know your accounts, your vendors, your quirks.
- Reports full of jargon. Every report comes with a plain-English summary. If something looks off, I flag it before you have to ask.
- Days or weeks of waiting. Two business day response guarantee on Monthly and Comprehensive. Every time.
